Assistant Dean for Scientific Affairs


The responsibilities of the Assistant Dean for Scientific Affairs constitute one of the fundamental pillars upon which the Dean’s Office of the College of Petroleum Process Engineering relies. This position serves as the main link responsible for supervising conferences, symposia, seminars, and other scientific activities within the College. It also oversees the affairs of undergraduate and postgraduate students and ensures their discipline throughout their academic studies and after graduation.
The Office of the Assistant Dean for Scientific Affairs is further entrusted with responding to official correspondence, monitoring student attendance and absences, and ensuring compliance with the prescribed uniform. It also reviews the reports of student disciplinary committees, coordinates with academic departments in preparing examination schedules, and guarantees the implementation of the regulations and directives issued by the Ministry of Higher Education and Scientific Research, in addition to the effective instructions of the Presidency of Tikrit University.

Duties and Authorities of the Associate Dean for Scientific Affairs:


  1. Organizing final examination schedules in coordination with the college’s academic departments.

  2. Organizing weekly lecture schedules in coordination with the academic departments, taking into account classroom allocations to ensure the smooth conduct of postgraduate studies.

  3. Supervising the weekly lecture records prepared for this purpose, ensuring coverage of all scheduled hours for each course in accordance with applicable regulations.

  4. Monitoring the attendance and discipline of postgraduate students in accordance with the established rules and regulations.

  5. Verifying postgraduate admission applications after receipt from the academic department and standardizing them.

  6. Reviewing cases of transfer to postgraduate studies from other universities to the college and referring them to the relevant academic departments for consideration and coordination with concerned authorities.

  7. Monitoring postgraduate students regarding study duration and full-time commitment in accordance with regulations and guidelines.

  8. Participating in college postgraduate committee meetings when invited to discuss postgraduate matters according to the departments’ specializations to ensure proper performance; preparing the discussion statement for a postgraduate student one week prior to the defense, arranging the defense committee minutes, evaluating them, and submitting them to the college council.

  9. Supervising the preparation of annual and specialized statistics related to postgraduate studies in the college.

  10. Handling the delivery and receipt of examination booklets in accordance with applicable rules.

  11. Announcing examination results after approval by the postgraduate committees in the academic departments according to their specialization.

  12. Providing academic departments with grades using a predesigned template for approval by the postgraduate committees.

  14. Coordinating with academic departments regarding the delivery of examination questions for the first and second sessions, in accordance with procedures applied in undergraduate studies.

  15. Corresponding with official authorities regarding the academic records of postgraduate students, from registration until graduation.

  16. Corresponding with the University Presidency / Graduate Studies Department regarding all matters related to postgraduate student records.

  17. Coordinating with official authorities to obtain their formal approvals for attendees after their names and departments have been determined by the relevant academic department.

  18. Signing the annual increment and promotion forms of postgraduate staff in his capacity as the highest authority.
